What to do when AI resume processing fails
Keep failed resume processing separate from candidate suitability. Use visible error states, controlled retries, and a manual review path so applications do not disappear.

An application can arrive successfully even when its AI analysis fails. Treating those events as the same thing can leave a candidate thinking the application was rejected or make a recruiter overlook a valid submission.
Keep the submission record and processing status separate in your operating procedure.
Establish what failed
Check whether the problem occurred during upload, text extraction, field parsing, or assessment. The response should match the failure. Asking someone to rewrite their experience will not fix a temporarily unavailable service.
Common categories worth recording include an unsupported file, an unreadable document, a missing required field, and a service error. Use the categories your actual system exposes rather than inventing technical certainty from a generic message.
The recruiter should still be able to locate the application and original document where the upload succeeded and access is authorized.
Keep failure out of suitability judgments
A failed analysis should appear as incomplete processing, with a next action. Do not convert it into a score of zero or an assumption that the candidate lacks requirements.
Give the team a manual route to examine the resume. If the document itself is unreadable, contact the candidate with clear instructions for an alternative format. Explain whether the application has already been received so they do not submit multiple copies unnecessarily.
Retry deliberately
Before rerunning processing, establish whether a retry can create duplicate results, trigger messages, or consume usage credits. Keep a record of which applications were selected and whether the previous failure was resolved.
Before retrying, work through these checks:
- Confirm the original file is present and readable.
- Identify whether the failure was temporary or requires a document correction.
- Check the product's retry and billing behavior.
- Review the new result rather than assuming success from the click alone.
Escalate repeated failures to the responsible operator or vendor. Repeating the same action indefinitely can hide the underlying issue and leave candidates waiting.
Use clear candidate-facing wording
If upload succeeded but analysis did not, say which information the candidate should verify manually. Avoid showing a success message and an error message for the same operation without explaining the difference.
Track unresolved cases in the hiring review and assign someone to each one. This keeps a technical problem from becoming a silent application outcome. The team should be able to continue a fair review even while the automated service is unavailable.
